Privacy Policy

This document describes intended privacy practices based on current EasyHire product functionality. Passages marked [Review required] are placeholders for EasyHire / Coltigent and qualified counsel. Do not treat those items as production legal commitments until they are confirmed.
1. Introduction
This Privacy Policy describes how EasyHire, a recruitment software service powered by Coltigent Technology Services PVT LTD, may collect, use, store, and share information when you visit our public website or use the EasyHire platform.
EasyHire is a multi-sided product. Hiring organizations (customers) use it to post roles, review applicants, and run interviews. Candidates use it to apply for jobs, complete assessments, and participate in interviews. Platform operators administer the service. What we process depends on how you use EasyHire and on settings chosen by the hiring organization.
This page is an informational description of product-related privacy practices. It is not legal advice, a Data Processing Agreement, or a complete list of every field stored in the system. [Review required] Confirm the legal entity, registered office, and the contracts that apply to your account before publishing this policy as a production commitment.
2. Information We Collect
We collect information that you provide directly, information that a hiring organization or candidate submits through the product, and information generated by the service (including logs, scores, and automated analysis). The following sections describe the main categories. We do not collect every category in every interaction.
If you choose not to provide information that is required for a feature (for example, a resume for an application, or camera access for a proctored interview), that feature may not work.
3. Account Information
When a company or user creates an EasyHire account, we typically collect:
- Name, email address, and password or other authentication credentials
- Organization name, role, and workspace membership
- Billing and subscription details associated with the customer account
- Profile or company settings the customer chooses to store
Candidate accounts (where enabled) may include sign-in credentials and profile information the candidate chooses to provide.
4. Candidate Information
Hiring organizations and candidates may submit personal information about applicants, including identity and contact details, location, work history, education, and other profile fields used in recruiting.
EasyHire processes this information to provide the hiring workflow the customer has configured. [Review required] Confirm whether EasyHire or the customer is the primary decision-maker for candidate data under applicable law, and reflect that in your customer agreement.
5. Resume and Application Data
Applications may include resumes, cover materials, answers to job-specific questions, files the candidate uploads, and tracking information about application status.
Resumes and related documents may be parsed or analyzed by the platform so that skills, experience, and other stated qualifications can be extracted and compared to a role. Automated extraction can be incomplete or inaccurate. Customers and reviewers should not treat parsed fields as a substitute for the original document.
6. Interview and Assessment Data
Where interviews or assessments are enabled, EasyHire may process:
- Questions, prompts, and candidate responses (including voice, text, or code)
- Transcripts, recordings, or session artifacts, when those features are used
- Scores, rubrics, recommendations, and reviewer notes
- Timing, progress, and session status
Exact artifacts depend on the interview type (for example, live voice, async, or coding) and on customer configuration.
7. AI-Generated Data
EasyHire uses automated systems to help screen, interview, and evaluate candidates. Those systems may generate derived data such as summaries, match scores, speech or coding signals, suggested questions, and hiring reports.
AI output is assistive. It can be wrong, incomplete, or biased. It is not a legal determination of fitness for a role. Customers remain responsible for how they use automated output in hiring decisions.
8. Camera, Microphone and Proctoring Data
Some interview sessions request access to a device camera and/or microphone. Depending on the flow, EasyHire may process audio for the interview, camera frames for readiness or presence checks, and integrity-related events (for example, whether a face appears to be present, or whether a session was interrupted).
We do not describe these signals here as government-grade identity verification or as a guaranteed detection of misconduct. [Review required] Confirm what is stored (live stream only vs. recorded media), retention of proctoring events, and whether any biometric identification is performed. Do not claim capabilities the product does not provide.
9. Usage and Technical Data
Like most online services, EasyHire may collect technical and usage information such as IP address, browser or device type, approximate location derived from network data, pages or features used, timestamps, diagnostic logs, and security-related events.
This information is used to operate, secure, and improve the service, and to diagnose problems.
11. How We Use Information
We use information to:
- Provide, maintain, and improve EasyHire
- Create and manage accounts, workspaces, and permissions
- Run recruiting workflows, applications, interviews, and reports
- Process payments and manage subscriptions where billing is enabled
- Communicate about the service, including support and security notices
- Monitor abuse, fraud, and product reliability
- Comply with law and enforce our terms, when required
We do not sell personal information as that term is commonly understood in a retail data-broker sense. [Review required] If you operate in jurisdictions with a statutory definition of “sale” or “sharing” of personal data, have counsel map that definition to EasyHire’s actual disclosures.
12. AI Processing
Features such as resume parsing, matching, interview dialogue, transcription, scoring, and report generation may send relevant content to automated models. Those models may be operated by EasyHire or by subprocessors.
Prompts and outputs may include personal information that customers or candidates submitted. [Review required] List AI subprocessors, hosting regions, whether customer content is used to train provider models, and any customer-controlled opt-outs. Do not state “we never use your data to train models” unless that is contractually true for every provider in use.
13. Third-Party Services
EasyHire relies on third-party services to operate. Depending on configuration, these may include cloud hosting and storage, email delivery, speech or video providers, AI model providers, and payment processors (for example, a billing provider used for paid plans).
Those providers process information according to their own terms and privacy notices, and only as needed for the services we have engaged. [Review required] Maintain a current subprocessor list (legal name, purpose, location) and make it available to customers as required by your agreements.
14. Data Storage
Information is stored on systems we operate or that our processors operate on our behalf. Files such as resumes or media may be stored in object storage. Structured records are stored in application databases.
[Review required] State the primary hosting region(s) (for example, a specific cloud region) and whether backups or subprocessors store copies elsewhere.
15. Data Retention
We retain information for as long as needed to provide the service, comply with customer instructions and legal obligations, resolve disputes, and maintain security. Retention can differ by data type (for example, account records, interview media, logs, and billing records).
When a customer deletes a record or closes an account, residual copies may remain for a limited period in backups or logs until those systems cycle. [Review required] Publish specific retention periods (or a customer-controlled deletion process) after operations and counsel agree. Do not promise “immediate permanent deletion from all backups” unless that is operationally true.
16. Data Security
We use technical and organizational measures intended to protect personal information, such as access controls, encrypted transport where the product uses HTTPS, and role-based access inside workspaces. No online service can guarantee absolute security.
[Review required] Add only certifications, audit reports, or encryption details that are current and accurate. Do not claim SOC 2, ISO 27001, or similar unless you hold them.
17. Data Sharing
We may share information:
- With the hiring organization that owns the relevant workspace, and users they authorize
- With candidates, to the extent the product shows them their own application or interview status
- With service providers who process data for us, under contractual restrictions
- If required by law, legal process, or to protect rights, safety, and the security of the service
- In connection with a merger, acquisition, or similar corporate transaction, subject to appropriate safeguards
We do not share candidate information with other EasyHire customers unless the candidate applies to those organizations or a feature the candidate or customer enables requires it.
18. International Data Transfers
EasyHire and its subprocessors may process information in countries other than the one where you or the hiring organization are located. Some AI, speech, or infrastructure providers may be located outside India.
[Review required] Identify transfer mechanisms (for example, contractual clauses) that apply to your customers, and list destinations. Do not assert that all data remains in a single country unless that is true for every production dependency.
19. User Rights
Depending on where you live and your relationship with EasyHire, you may have rights to request access, correction, deletion, restriction, or a copy of personal information, or to object to certain processing. The process and scope of those rights depend on applicable law and on whether EasyHire or a customer organization controls the relevant data.
Workspace users should contact their organization administrator for requests about customer-controlled hiring data. You may also contact us at info@coltigent.com. We may need to verify the request and may decline or limit it where the law allows (for example, where another party’s rights or our legal obligations apply).
[Review required] Map rights to the laws you will actually comply with (for example, India’s Digital Personal Data Protection Act and, if you serve EU or other users, those regimes). Add any required grievance officer or DPO details.
20. Company/Customer Responsibilities
Customer organizations decide which roles to post, whom to invite, which interview settings to enable (including camera or proctoring features), and how to use scores and reports in hiring decisions.
Customers are responsible for providing notices and obtaining permissions required for their recruiting process, for using EasyHire in line with employment and anti-discrimination laws, and for configuring retention and access inside their workspace.
[Review required] Align this section with your Terms, Order Form, and Data Processing Addendum. Do not imply that EasyHire makes hiring decisions on the customer’s behalf unless a specific product mode does that.
21. Candidate Rights
Candidates typically interact with EasyHire because a hiring organization invited them or published a job. Requests about an application, interview recording, or hiring decision are often handled first by that organization.
Candidates may contact info@coltigent.com for questions about how the EasyHire platform processes their information. We may redirect requests to the relevant customer when they control the data.
Candidates can often decline optional device permissions; doing so may prevent a proctored or voice interview from proceeding as configured by the employer.
22. Children's Privacy
EasyHire is a workplace recruiting product. It is not directed at children, and we do not knowingly collect personal information from children.
[Review required] Confirm the minimum age (for example, 18) for your markets and whether any apprenticeship or campus-hiring programs need a different notice. If you believe we have collected information from a child, contact info@coltigent.com so we can review and delete it where appropriate.
23. Changes to This Policy
We may update this Privacy Policy from time to time. The “Last Updated” date at the top of this page will change when we do. The date is maintained in EasyHire’s legal configuration (and may be set by environment variable) so it is not copied through unrelated parts of the application.
Material changes may also be communicated through the product or by email where we have a working address. Continued use of EasyHire after an update means the revised policy applies to the extent permitted by law and your contract.
